Job description

Role Overview

Specialist, Quality Assurance at ADNOC, managing quality assurance initiatives and processes across 50+ operations sites including supply and distribution terminals, airports, supply chain locations, and production plants.

Role Purpose

Manage quality assurance initiatives and processes across all company functions to ensure continuous improvement, system integrity, and customer orientation in line with company strategies and policies. Design, update, and monitor corrective actions and process updates to eliminate or reduce non-conformities. Ensure operational activities and services are consistent with Quality Operations Manual requirements, industry regulations, and ADNOC Distribution Rules and Standards, with full implementation of all applicable QMS/IMS requirements across operations sections.

Key Responsibilities

Quality Assurance & Audits

  • Support all external and internal inspections performed by various agencies and regulators (IATA, GCAA, ADAC, Customers, ISO, Internal Audit) across operations groups, terminals, and fuel depots.
  • Report inspection results and recommendations to management and ensure closure plans are set and completed within agreed timeframes.
  • Design, update, and monitor all corrective actions and consequences of process updates to eliminate or reduce non-conformities.
  • Carry out periodical inspections of operations facilities within the company including customers' facilities as requested by Group Managers.
  • Coordinate and facilitate quality assurance audits and other external and internal audits and inspections.
  • Carry out inspections of different locations and job sites to ensure ISO operational procedures are implemented and employees have the competencies to perform jobs, as requested by Operations Managers.
  • Assess and inspect existing systems to ensure all requirements are met to retain applicable certifications by external organizations such as ISO, OHSAS, and JIG.
  • Conduct gap analyses and develop action plans to address any deficiencies.
  • Ensure all systems are regularly reviewed and updated to maintain compliance with certification standards.

Reporting & Documentation

  • Prepare detailed and accurate reports on quality assurance activities, audit findings, and corrective actions.
  • Ensure all documentation is clear, concise, and compliant with regulatory and company standards.
  • Ensure closeout of actions from various inspections by maintaining regular follow-ups.

Corrective & Preventive Actions

  • Conduct thorough gap analyses to identify deficiencies in current processes and systems.
  • Develop and implement Corrective and Preventive Actions (CAPA) to address identified gaps and mitigate risks.
  • Monitor effectiveness of CAPA initiatives and adjust strategies as necessary to ensure continuous improvement and compliance with quality standards.
  • Collaborate closely with site managers to verify implementation of corrective actions and assign specific responsibilities to promote accountability and efficiency.

Risk Management

  • Identify and assess risks related to quality assurance and develop mitigation strategies to address potential issues.
  • Ensure risk management practices are integrated into all quality assurance activities.

Continuous Improvement & Problem Solving

  • Investigate customer complaints and follow up on corrective and preventive actions and reports to Managers.
  • Recommend, monitor, and support continuous improvement through tools and methods for evaluating, identifying, and correcting any quality-affecting parameters.
  • Investigate serious operational problems and suggest suitable solutions.
  • Cooperate with Training Section to continuously improve the Operations Training Manual.
  • Provide training on a regular basis covering safety practices, Incident Investigations, Safety Leadership, risk assessment, and others.
  • Ensure all locations follow one HSE standard from technical and operational requirements.

Quality Management System

  • Conduct and design training and awareness sessions for Quality Initiatives and ISO objectives, processes, and procedures to ensure aligned understanding among related employees.
  • Consult on functions' compliance to the company's Document Management System (ADMS) and Record Management System in line with ISO 9001 requirements.
  • Design and update the Record Management System's policies, file plans, record classification, record retention, and disposal in accordance with local regulations and company policy.

Qualifications & Experience

  • Bachelor's degree in an engineering discipline.
  • Eight or more years of experience in quality management, preferably in oil and gas retail industry.

Skills & Competencies

  • Thorough understanding of ISO 9001 quality requirements.
  • Hands-on Continuous Improvement and Business Process Re-Engineering.
  • ISO 9001 auditor certification.
