Role Overview

Service Coordinator at NOV, based within the Rig Aftermarket Team in the Service department.

Role Purpose

As Service Coordinator within the Rig Aftermarket Team, you will be a key member of the Service department function, supporting the Service Management team from initial customer service enquiry through to service completion and invoicing. You will deliver high-accuracy administrative and operational support to ensure smooth service delivery and client satisfaction.

Key Responsibilities

Purchasing

  • Prepare and submit quotation requests to vendors.
  • Prepare and submit purchase requisitions.
  • Issue and follow up on Purchase Orders.
  • Track all purchasing activities.
  • Ensure all procurement activities comply with company policies and procedures.
  • Maintain vendor relationships to ensure timely delivery and cost efficiency.
  • Coordinate ICPOs and related requests, including issuing and tracking work orders and transfer orders.

Monitoring & Tracking

  • Monitor and track progress continuously across assigned tasks.
  • Identify and report deviations or delays, ensuring timely resolution.
  • Submit weekly reports on task progress and deviations.
  • Monitor warranty claims, upgrades, and parts status continuously.
  • Submit weekly reports on warranty claims, upgrades, and parts status.
  • Liaise with customers to arrange mobilisation of Service Engineers within required timelines.
  • Ensure the Service Engineer resourcing plan is fully updated and accurate.
  • Disseminate information to Service Engineers relating to job mobilisation.
  • Financially review Service Projects in Tracker FSM and prepare billing of Service Engineers for passing to accounts department for invoicing to customer.
  • Support the department with additional service project duties as required.

Meetings & Communication

  • Assist with internal and external meetings as required.

Training Coordination

  • Communicate regularly with the Training Department to stay updated on training schedules and requirements.
  • Maintain accurate records of training activities.
  • Track and report progress of FSTs in their training assignments.
  • Submit weekly reports on training coordination activities.

Administrative Support

  • Manage tools calibration, including storage management, tracking due dates, and calibration activities.
  • Arrange transportation and hotel bookings for Service Engineers.
  • Check invoices for transportation and hotel bookings.
  • Provide general administrative support to ensure smooth day-to-day operations.
  • Maintain organized records for all operational tasks, communications, and follow-ups.

Qualifications & Experience

  • Bachelor's degree or equivalent combination of education and experience.
  • Working knowledge within a service or manufacturing environment.
