Role Purpose
The Secretary supports the Senior Leadership Team in the Marketing and Communications Division by providing secretarial and administrative assistance to enhance QNB's image through efficient and timely actions. The role ensures smooth day-to-day operations and assists senior leadership where required.
Key Responsibilities
Secretarial and Administrative Support
- Provide daily administrative support to the Senior Leadership Team including organizing agendas, arranging trips, writing emails and couriers, and preparing documents and meeting materials.
- Assist with general Branch administration matters.
Communications and Coordination
- Interact proactively with various departments within the Branch and the Head Office to ensure smooth communication.
- Handle incoming and outgoing correspondence.
Travel and Logistics Management
- Arrange regular travel itineraries including flights, hotels, and cars.
- Prepare materials and itineraries for business trips.
- Provide support to senior VIP visits to Head Office including travel logistics and schedules.
Calendar and Meeting Management
- Manage complex diaries and organize internal and external meetings.
- Coordinate client meetings, senior management functions, and video or conference calls.
Presentations and Documentation
- Assist in the preparation of presentations and supporting materials for senior leadership.
Qualifications & Experience
- Bachelor Degree.
- Minimum 5+ years of experience, of which a minimum of 2 years at a similar executive level.
- Demonstrated secretarial or PA experience within a service-oriented organization, preferably in the financial services industry.
- Evidence of supporting a busy personal and professional schedule of a senior manager who is travelling, as well as managing the demanding needs of a team.
