Role Overview
Project Coordinator – KSA for Smiths Group, a global leader in threat detection and security screening technology based in the Kingdom of Saudi Arabia.

Role Purpose
Support Programme Managers, Project Engineers and the PMO in the effective execution of project controls across all phases—initiating, planning, monitoring and controlling, internal communication and close-out—while preparing accurate, timely project reporting and financial documentation.
Key Responsibilities
Project Controls & Execution
- Assist Programme Managers and Project Engineers in executing project controls for initiating, planning, monitoring, controlling, internal communication and close-out phases.
- Support the PMO in effective execution of project controls across all project phases.
- Ensure project health check issues are highlighted quickly and effectively.
- Feedback issues, risks and benefits to relevant stakeholders.
Reporting & Scheduling
- Prepare weekly and monthly project reporting.
- Update project schedules and coordinate project progress.
- Prepare manpower histogram and create and update S-Curve under technical guidance.
- Prepare time impact analysis and cashflow forecasting under technical guidance of Programme Coordinator and Programme Planner.
- Ensure completion of timely, accurate and standardised project reporting across assigned projects at all levels.
- Support the Programme Planner by ensuring Com Sheets of assigned projects are updated as per requirements and report any anomalies impacting internal reporting.
Financial & Commercial
- Assist Programme Managers and Project Engineers in financial forecasting.
- Coordinate discrepancies or inconsistencies affecting forecasting accuracy.
- Support the Programme Planner to prepare weekly financial revenue, billing and cashflow reports in line with project reporting for market reviews.
- Support Programme Managers and Project Engineers in compiling supporting documents and reports for revenue recognition.
- Prepare payment applications as per project progress and maintain a log or tracker for monitoring.
- Prepare Purchase Request (PR) in SAP as per request of PM and PMO Manager.
Documentation & Risk Management
- Prepare documentation reflecting issues, risks and opportunities under technical guidance of Programme Coordinator and Programme Planner.
- Maintain a document management and version control system established in accordance with company standard approach for recording and tracking of all project documents.
- Assemble all project-related documentation and structure for archiving and uploading onto SharePoint through the PMO.
Administrative & Governance
- Attend all key project working meetings including daily coordination meetings.
- Prepare and timely circulate meeting minutes as per arrangements with PM.
- Organise and coordinate execution of internal programme audits and support follow-up activities.
- Ensure lessons learned are continuously and timely captured by projects and programmes and shared among teams for improvement.
- Ensure the Smiths Code of Corporate Responsibility and Business Ethics is upheld in all activities.
Qualifications & Experience
- Bachelor's degree in Industrial Engineering or equivalent engineering discipline, OR BS IT, BS Computer Science or equivalent four-year course.
- Minimum four years of related project experience in a role within a service organisation.
- Middle East regional experience is a plus.
- Minimum one year of experience preparing and updating schedules using Project Management software (Primavera 6).
- Basic financial and problem-solving skills including conducting variance analysis.
- Awareness of critical path analysis, reporting, risk management tracking and completion of corrective action plans.
Skills & Competencies
- Advanced MS Office applications (Excel, Word and PowerPoint) is a must.
- Experience using SAP software is advantageous.
- Document Software Experience (e.g. ACONEX, PMWeb).
- Project Management Training in process, method, approach and technique.
- Basic training in cost management, data management and reporting methodologies and techniques.
- Basic understanding of planning methodologies and techniques and all other aspects of project controls such as EVM and Time Impact Analysis.
- Document Management System (DMS) proficiency.
- Ability to communicate clearly in verbal, written and listening modes.
- Ability to build an effective network of relationships with internal and external customers.
- Ability to make good judgements based on available information in a timely manner.
