Executive Secretary at IHG Hotels & Resorts, InterContinental Doha The City, located in Doha, Qatar.

Role Purpose
Support the General Manager and Executive Office with high-level administrative services, managing calendars, communications, travel, and guest interactions while maintaining discretion and professionalism in a luxury hospitality environment.
Key Responsibilities
Calendar & Schedule Management
- Manage the General Manager's calendar, meetings, travel arrangements, and daily priorities.
- Organize business travel, events, and Executive Committee meetings.
Communications & Correspondence
- Prepare correspondence, reports, presentations, and meeting minutes.
- Coordinate communication between the Executive Office and hotel departments.
- Support guest correspondence, feedback, and Executive Office communications.
Guest & Stakeholder Relations
- Welcome and assist VIP guests, coordinating special requests with relevant departments.
- Handle guest and stakeholder interactions with composure, discretion, and professionalism under pressure.
Document & Information Management
- Handle confidential information, documents, and records with discretion.
- Maintain accurate filing systems and ensure compliance with IHG policies and procedures.
Financial & Administrative Operations
- Process purchase requests, invoices, expense reports, and maintain office supplies.
General Support
- Support the General Manager with administrative tasks and other duties as required.
Qualifications & Experience
- Bachelor's degree.
- 3β5 years of experience as an Executive Secretary, Executive Assistant, or similar administrative role.
- Previous experience within IHG Hotels & Resorts or another international luxury hospitality group is an advantage.
- Prior work experience in hotel operational departments.
Skills & Competencies
- Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and document/data management systems.
- Excellent organizational, multitasking, and time-management skills.
- High attention to detail and discretion.
- Ability to manage multiple priorities and initiatives.
- Excellent interpersonal and communication skills.
- Genuine, natural sense of hospitality.
- Proven track record of successful, high-level administrative support.
