Role Purpose
Manage the creation, review, distribution, and archiving of all project documents while maintaining accurate version control, ensuring regulatory compliance, and supporting internal teams through efficient document management systems and processes.
Key Responsibilities
Document Management
- Manage the creation, review, distribution, and archiving of documents such as reports, specifications, contracts, and correspondence.
- Establish efficient systems for document retrieval and ensure documents are readily accessible to authorized personnel.
Version Control & Accuracy
- Maintain accurate version control of documents to ensure that stakeholders are accessing the most up-to-date information.
- Implement quality control measures to ensure the accuracy, completeness, and integrity of documents.
Compliance & Security
- Ensure that document management processes comply with relevant regulatory standards and organizational policies.
- Maintain confidentiality and security of sensitive documents by implementing appropriate access controls and security measures.
Quality & Auditing
- Conduct regular audits of document management processes to identify areas for improvement and ensure compliance with standards.
- Continuously evaluate and improve document management processes to enhance efficiency and effectiveness.
Collaboration & Support
- Collaborate with internal teams, such as project managers, engineers, and administrative staff, to facilitate document-related processes and workflows.
- Provide training and support to staff on document management processes and software systems.
Qualifications & Experience
- Bachelor's degree in Engineering, Business Administration, or a related field.
- Minimum of 5 years of experience in document control roles within the consultancy sector, with a focus on site supervision for infrastructure projects such as roads, tunnels, bridges, and highways.
- Proven experience in document control or records management role.
- Familiarity with regulatory requirements related to document management (e.g., ISO standards) is a plus.
- Certification in document management (e.g., Certified Document Controller) is desirable.
