Role Purpose
Support the Marine Division by managing project documentation, coordinating project-related activities, maintaining records, and assisting project teams to ensure efficient execution of marine construction and maintenance projects.
Key Responsibilities
Documentation Management
- Manage, control, and maintain all project documents, drawings, correspondence, and records.
- Ensure proper filing, tracking, distribution, and archiving of project documentation in accordance with company procedures.
- Maintain document control registers and monitor document revisions and approvals.
- Monitor incoming and outgoing documents to ensure compliance with project requirements.
- Maintain project databases and ensure accurate record keeping.
Project Coordination
- Coordinate with project managers, engineers, clients, consultants, subcontractors, and suppliers regarding project documentation and administrative matters.
- Coordinate internal and external meetings and follow up on action items.
- Track project deliverables, action items, and deadlines to ensure timely completion.
- Support project mobilization and resource coordination activities.
- Assist the Marine Project Team in day-to-day project administration and coordination activities.
Reporting & Administration
- Prepare and submit project reports, meeting minutes, progress updates, and presentations as required.
- Assist in preparing technical and commercial submissions, permits, and project correspondence.
Qualifications & Experience
- Bachelor's Degree or Diploma in Business Administration, Engineering, Project Management, or a related field.
- Minimum 5 years of experience in document control and project coordination, preferably within marine, infrastructure, construction, or EPC projects.
- Strong knowledge of document control procedures and project administration practices.
- Experience working on marine construction, dredging, ports, harbours, bridges, or offshore projects is an advantage.
Skills & Competencies
- Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
- Experience using document management systems (Aconex, EDMS, SharePoint, or similar platforms) is preferred.
- Knowledge of project scheduling and reporting.
- Excellent communication and coordination skills.
- Strong organizational and multitasking abilities.
- Ability to manage multiple priorities and meet deadlines.
- Strong attention to detail and document accuracy.
- Professional communication and stakeholder management skills.
- Ability to work effectively in a fast-paced project environment.
