Role Overview

Cluster Assistant Purchasing Manager at Marriott in Saudi Arabia. Saudi National candidates only.

Role Purpose

Manage ordering, receiving, storing, distributing and payment of items across cluster properties while maintaining compliance with established procedures. Assist in formulating an approved vendors list and support the Executive Chef in all purchasing aspects to ensure quality and profitability.

Key Responsibilities

Purchasing Management and Vendor Relations

  • Assist in generating and providing accurate and timely reports and presentations on purchasing activities.
  • Assist in formulating an approved vendors list encompassing all categories.
  • Communicate with kitchen, restaurant management and vendors to ensure timing of deliveries satisfies advanced food production needs.
  • Ensure that price and product availability issues are communicated as needed to the Food and Beverage Director and Executive Chef.

Food and Beverage Procurement

  • Order all food and beverage based on business needs.
  • Assist Executive Chef in all aspects of purchasing (Food, Beverage and Controllable) to ensure quality and profitability.
  • Assist Executive Chef in maintaining and lowering budgeted food and controllable costs.
  • Check invoices on goods received against shipment to ensure quantity, quality, weights and purchase specifications are as ordered.
  • Assist in receiving and inspecting all deliveries.

Inventory Management and Controls

  • Assist in enforcing first in/first out inventory rotation for all storeroom products.
  • Enforce item use-up with storeroom personnel and kitchen management to keep inventory at lowest possible levels.
  • Maintain inventory controls for proper levels, dating, rotation and requisitions.
  • Maintain an accurate controllable log and beverage perpetual.
  • Complete period end inventory according to Food and Beverage and Accounting standard operation procedures.
  • Calculate figures for food and beverage inventory.
  • Ensure proper safeguards are in effect for the security of the food and beverage storeroom assets.

Compliance and Safety

  • Assure sanitation compliance.
  • Maintain sanitation and safety standards as specified in the brand guidelines.
  • Demonstrate knowledge and proficiency of A.S.I. standards.
  • Use relevant information and individual judgment to determine whether events or processes comply with laws, regulations or standards.

Financial Operations and Reporting

  • Compile, code, categorize, calculate, tabulate, audit or verify information and data.
  • Use existing computer programs to perform daily and period end food and beverage costs.
  • Use existing computer programs effectively to post invoices, update items and costs.
  • Maintain accurate administration of all invoices and adherence to proper bookkeeping procedures.
  • Complete administrative tasks on a timely basis including C-7s, menu costing and general office duties.
  • Submit reports in a timely manner, ensuring delivery deadlines.
  • Ensure profits and losses are documented accurately.
  • Monitor all taxes that apply, ensuring that taxes are current, collected and/or accrued.

Performance and Goal Management

  • Achieve and exceed goals including performance goals, budget goals and team goals.
  • Develop specific goals and plans to prioritize, organize and accomplish work.
  • Demonstrate knowledge of job-relevant issues, products, systems and processes.
  • Keep up-to-date technically and apply new knowledge to the job.

Communication and Collaboration

  • Provide information to supervisors, co-workers and subordinates by telephone, in written form, email or in person.
  • Interact with kitchen staff, vendors and Executive Chef.
  • Inform and/or update executives, peers and subordinates on relevant information in a timely manner.
  • Provide direction and assistance to other organizational units regarding accounting and budgeting policies and procedures, and efficient control and utilization of financial resources.
  • Attend and participate in all pertinent meetings.
  • Analyze information and evaluate results to choose the best solution and solve problems.

Qualifications & Experience

  • 4-year bachelor's degree in Finance and Accounting or related major.
  • No work experience required.

Skills & Competencies

  • Use computers and computer systems (including hardware and software) to program, write software, set up functions, enter data or process information.
  • Proficiency with existing computer programs for purchasing, accounting and inventory management.
  • Knowledge of accounting principles and procedures.
  • Knowledge of food and beverage purchasing and cost control.
