Admin Assistant β UAE National at Wood PLC, based in Sharjah, UAE. Role Purpose
The successful candidate will provide administrative, clerical, and coordination support to ensure efficient office operations, effective communication, and smooth execution of departmental activities.
Key Responsibilities
General Administration (For Graduate and Junior Candidates)
- Provide general administrative support to the department and management team.
- Handle incoming correspondence, emails, and telephone inquiries.
- Maintain and organize electronic and hard-copy filing systems.
- Schedule meetings, prepare agendas, and coordinate meeting logistics.
- Prepare routine reports, presentations, and documents.
- Assist in travel arrangements, accommodation bookings, and expense tracking.
- Coordinate office supplies and administrative inventories.
- Support onboarding activities for new employees.
- Ensure confidentiality of company information and records.
- Perform other administrative duties as assigned.
Senior Support & Operations (For Experienced Professionals)
- Manage calendars, meetings, and travel arrangements for senior management.
- Coordinate departmental communications and stakeholder interactions.
- Prepare reports, presentations, meeting minutes, and business correspondence.
- Support project documentation, document control, and records management activities.
- Monitor administrative processes and recommend efficiency improvements.
- Coordinate with internal departments, clients, contractors, and external vendors.
- Track department budgets, invoices, and procurement requests where applicable.
- Assist with event planning, workshops, and corporate activities.
- Ensure compliance with company policies and document management procedures.
- Provide guidance and support to junior administrative staff when required.
Qualifications & Experience
For Fresh Graduates (0β2 Years)
- Diploma or Bachelor's Degree in a relevant field.
- Internship or administrative experience is an advantage.
For Experienced Candidates (3β10 Years)
- Diploma or Bachelor's Degree in a relevant field.
- 3β10 years of administrative, office coordination, executive support, or related experience.
- Experience within Oil & Gas, EPC, Energy, Engineering, Construction, or Corporate environments is preferred.
