Accounts Supervisor - Payables & Control at Al-Futtaim, supporting dealership operations across Sales and After Sales finance functions.

Role Purpose

As a key member of the finance team, you will provide decision support for budgeting, forecasting, and management information systems while ensuring compliance with company policies and procedures. Your role will oversee cash control, sales accounting, credit control approvals, stock controls, audit report follow-up, and improve day-to-day internal controls.

Key Responsibilities

Accounts Payable Operations

  • Supervise the complete Accounts Payable cycle, including invoice verification, coding, approval workflows, and payment processing.
  • Ensure all supplier invoices are accurately recorded and processed within agreed timelines.
  • Review and approve vendor reconciliations and resolve discrepancies promptly.
  • Monitor aging reports and ensure timely settlement of vendor liabilities.
  • Review transactions for accuracy, completeness, and proper account allocation.

Financial Controls & Compliance

  • Ensure compliance with company policies, delegated authority limits, and financial procedures.
  • Support compliance with VAT, WHT, Tax and other applicable statutory requirements.
  • Identify and mitigate financial and operational risks within the payables process.
  • Review balance sheet reconciliations for supplier accounts and AP-related GL accounts.
  • Coordinate internal and external audit requirements relating to payables.

Process Improvement & Automation

  • Drive process improvements and automation initiatives.

Fixed Asset Management

  • Maintain accurate fixed asset records, including asset additions, capitalization, transfers, disposals, and retirements.
  • Review asset capitalization to ensure costs are classified correctly and comply with company policy and applicable accounting standards.
  • Monitor depreciation calculations and ensure timely and accurate posting to the general ledger.
  • Perform periodic reconciliation of the fixed asset register to the general ledger and resolve discrepancies.
  • Coordinate physical verification of fixed assets and ensure asset tagging and location records are current.
  • Maintain supporting documentation and provide fixed asset schedules for internal and external audits.

Insurance Administration

  • Coordinate timely renewal of asset insurance policies and ensure adequate coverage for company assets.
  • Reconcile insurance premiums, policy schedules, and related general ledger accounts, and resolve discrepancies promptly.
  • Administer employee medical insurance additions, deletions, renewals, premium reconciliations, and supporting documentation in coordination with HR and insurers.
  • Manage workmen's compensation, fidelity insurance, and other corporate insurance policies, ensuring timely renewals and compliance with company and statutory requirements.
  • Maintain accurate insurance registers, policy documents, endorsements, invoices, and payment records.
  • Coordinate insurance claims, follow up with insurers and internal stakeholders, and provide supporting schedules for management review and audits.

Qualifications & Experience

  • Bachelor's Degree in Accounting, Finance, or Commerce.
  • Professional qualifications such as ACCA, CPA, CMA, or equivalent is preferred.
  • Experience with ERP systems is essential.

Skills & Competencies

  • Strong knowledge of accounts payable, supplier reconciliations, general ledger controls and financial reporting processes.
  • Sound understanding of financial controls, audit requirements and applicable VAT, WHT, tax and statutory obligations.
  • Practical knowledge of fixed asset accounting, depreciation, asset verification and insurance administration.
  • Strong analytical and problem-solving skills, with close attention to accuracy and detail.
  • Process-oriented approach with the ability to identify risks, improve controls and support automation.
  • Clear communication and stakeholder-management skills, with the ability to guide a team and coordinate across functions.
  • Experience working with an ERP system.
