Role Overview

Accommodation Supervisor at IHG Hotels & Resorts. This role is responsible for the day-to-day operation, cleanliness, safety and overall condition of colleague accommodation, while providing administrative support to the Human Resources team.

Role Purpose

To oversee colleague accommodation operations and create a comfortable, welcoming living environment, while supporting HR administration including filing, documentation, timekeeping, payroll preparation and colleague engagement activities.

Key Responsibilities

Accommodation Operations

  • Oversee the daily operation of colleague accommodation, ensuring rooms and common areas are clean, safe, well maintained and in accordance with hotel standards.
  • Manage room allocations, check-ins, check-outs and accommodation records, maintaining accurate occupancy and room assignment information.
  • Conduct regular accommodation inspections and coordinate with Engineering, Housekeeping, Security and other departments on maintenance, cleanliness, safety and repair requirements.
  • Ensure accommodation rules and standards are followed, addressing concerns and reporting any recurring or serious issues to Human Resources.
  • Maintain accommodation inventories, including furniture, equipment, linen and other hotel-provided items, and coordinate their proper issuance and replacement.
  • Maintain regular communication with colleagues living in the accommodation, listen to concerns and coordinate appropriate follow-up with HR or the relevant department.
  • Promote a respectful, inclusive and positive living environment while maintaining appropriate confidentiality and professional boundaries.

HR Administration

  • Support the HR team with filing and maintenance of colleague personnel records, ensuring documents are complete, organised, updated and handled confidentially.
  • Assist with routine HR administration, including preparation of forms, letters, trackers, reports, colleague documentation and record updates.
  • Ability to maintain accurate records and handle confidential employee information responsibly.

Timekeeping & Payroll

  • Assist with daily timekeeping and attendance, including checking attendance records, missing punches, absences, lateness and other discrepancies, and coordinate corrections with the relevant departments.
  • Support monthly payroll preparation by checking attendance, overtime, unpaid leave, allowances, deductions and other required payroll information before submission.

Colleague Engagement & Onboarding

  • Support colleague engagement and wellbeing activities, including accommodation-based activities, celebrations, recognition programmes, sports and social events, colleague communications and other HR initiatives.
  • Support the onboarding and separation process by coordinating accommodation arrangements for new joiners and departing colleagues.
  • Support the HR team with other administrative, colleague welfare and engagement activities as required.

Qualifications & Experience

  • Diploma or Bachelor's degree in Hospitality Management or a related field.
  • Previous experience in staff accommodation, HR administration, hotel operations or a similar supervisory role.

Skills & Competencies

  • Good administrative and organizational skills with strong attention to detail.
  • Basic understanding of timekeeping, attendance and payroll processes.
  • Good computer skills, particularly Microsoft Excel, Word and Outlook.
  • Strong communication and interpersonal skills and the ability to work with colleagues from different cultures and backgrounds.
  • Good problem-solving skills and the ability to respond appropriately to accommodation and colleague concerns.
  • Flexible, approachable and service-oriented, with a genuine interest in colleague wellbeing and engagement.
  • Good written and spoken English; additional languages would be an advantage.
