Role Overview
Travel and Logistics Supervisor at ACWA Power. This office-based role manages all domestic and international flight bookings, accommodation arrangements, transportation coordination, and travel budget oversight for employees across the organization.
Role Purpose
Serve as the central point of contact for employee travel arrangements, ensuring all bookings comply with budget constraints, travel restrictions, and company policy while maintaining accurate records and cost tracking across multiple departments and international operations spanning fourteen countries.
Key Responsibilities
Travel Booking & Coordination
- Serve as office-based point of contact for all employees requiring domestic or international travel arrangements, including flights and land transportation.
- Obtain and compare available flights, car rentals, and hotel accommodation to identify the best available options.
- Book and manage all ACWA Power Group accommodation for outage and non-outage activities, as well as certain third-party services personnel.
- Liaise with Planning Manager on requested travel to ensure alignment with mobilization requirements and outage specifications.
Budget & Cost Management
- Monitor travel budget and ensure employees travel within set budgetary constraints.
- Create and maintain a dashboard for cost tracking on flights, hotels, and transportation.
- Manage travel costs by tracking expenditures against overall budgets per department and outage.
- Review all flight, hotel, and transportation invoices before payment processing to ensure accuracy of charges.
- Review international outage accommodation and transportation invoices across fourteen countries, including services for certain third-party personnel in addition to NMES.
- Obtain approval from relevant leadership personnel for flight requests and costs against respective budgets.
Compliance & Policy Management
- Stay up to date with the latest travel restrictions and vaccine requirements regarding flights per different country and nationality requirements.
- Liaise with P&C department regarding visa requirements for different nationalities entering different countries before booking flights.
- Create and maintain internal travel procedures and communicate with employees regarding any changes with travel impact.
- Ensure Travel Desk understands all latest policies and procedures regarding flights, as Travel Desk will provide backup coverage when needed.
- Adhere to all relevant organizational and departmental policies, processes, standard operating procedures, and instructions.
- Comply with Corporate Information and Security Policies and Procedures.
- Adhere to all relevant health, safety, security, and environmental procedures, instructions, and controls to guarantee employee safety and environmental compliance.
Stakeholder Management
- Work closely with Travel Desk, Senior PCM, Planning Manager, and Resource Director.
- Partner with external travel agencies, logistic partners, and various hotels.
- Maintain excellent customer, communication, and interpersonal skills in all interactions.
General Responsibilities
- Perform any other duties the organization may require.
Qualifications & Experience
- Bachelor's degree or 3+ years of experience in a Travel Booking related role.
- IATA Certification in Travel & Tourism.
- 3+ years of experience in a corporate or Travel Management Company (TMC) environment (desired).
- Familiarity with at least one Global Distribution System (Amadeus, Galileo, Sabre, or equivalent) (desired).
