Role Overview
Supervisor GR/GS at ACWA Power. This role provides staff visa administrative and documentation support to the site management team at a project location.
Role Purpose
Support the site management team with comprehensive administrative and immigration services for employees and their dependents, ensuring compliance with Company systems and government requirements while delivering transparent, responsive service.
Key Responsibilities
Immigration and Visa Management
- Manage immigration and labour processes for employees and their dependents, collating documents, accurately preparing applications, and applying for entry permits, employment visas, labour cards, and residence visas.
- Manage the renewal of visa processes for employees and their dependents to avoid expiration or travel limitations.
- Manage the cancellation of visa processes for employees and their dependents to ensure visas are cancelled appropriately.
- Guide employees and their dependents through immigration and visa processes, ensuring regular updates, transparent communication, prompt and efficient enquiry management, and best-in-class service delivery.
- Maintain an up-to-date database of passports and residence visas and their renewal dates.
Staff Administrative Support
- Provide staff administrative support to the site management team (PGM, OM, MM).
- Assist and support the processing of all new employees to site.
- Assist staff with medical and figure scan requirements for visa applications.
- Support with planning and travel arrangements.
Government and Institutional Liaison
- Support with all government agency incoming and outgoing communication, including official communication, documents, letters, and post.
- Liaise with Dubai HO for arranging travel documents and other requirements as requested by the site management team.
- Liaise and assist staff with document attestation requirements, supporting the arrangement of employee certificate attestation and arranging attestation in the UAE with MOFA.
- Provide advice to employees on local authorities and government body processes such as residence visas for families, driving licenses, and car registrations.
- Provide assistance with stakeholder management with local government bodies, agencies, and institutions such as schools and universities.
- Assist the site team with liaison with schools and other entities.
Compliance and Documentation
- Ensure that all work is undertaken in compliance with the Company systems, structures, standards, and policies.
- Maintain confidentiality and security of Company and employee documents. Handle sensitive and confidential matters as required.
- Produce letters for employees required to be drafted in Arabic.
General Duties
- Perform other duties as assigned by the site management team, with effective resource utilization.
Qualifications & Experience
- Bachelor degree in business or related subject.
- Minimum 5 years' experience in a similar position.
- Preferable 8 years' experience in the UAE.
Skills & Competencies
- Excellent communication skills in English and Arabic language.
- Awareness of NOMAC Quality, Occupational Health & Safety, and Environment Management system principles.
- Computer literate. Ability to use IT systems for planning and documentation management.
- Ability to work independently and effectively with others.
- UAE Driving license.
Additional Information
- Work location is an office environment at a site location, requiring occasional travel to the regional HO and government and institutional agencies.
- Occasional weekend and/or evening work may be required.
