Role Overview
Senior Institutional Effectiveness Officer at Ajman University. Open for all nationalities. Reports to the Vice-Chancellor for Institutional Planning and Effectiveness.
Role Purpose
Lead and operate the Unit of Assessment and Effectiveness within the Office of VCIPE to drive institutional success. Promote a culture of effective assessment and evidence-based continuous improvement throughout the university.
Key Responsibilities
Unit Leadership & Operations
- Lead and successfully operate the Unit of Assessment and Effectiveness to achieve its targets, ensuring all activities align with the institution's strategic goals.
- Champion the establishment of a culture of evidence-based assessment, evaluation, and continuous improvement across all academic and non-academic units.
Assessment & Reporting
- Oversee and review annual effectiveness reports from all colleges for all academic programs and provide recommendations for improvement.
- Collect, validate, and verify OBEF data and supporting evidence from colleges and administrative units.
- Submit HEDB data on behalf of the institution.
- Calculate, review, and monitor OBEF KPI scores and trends to identify performance gaps and areas requiring improvement.
- Prepare OBEF reports, summaries, and presentations for management, committees, colleges, and relevant stakeholders.
- Prepare Annual Report, survey reports, corrective/improvement action reports, and Institutional Assessment and Effectiveness Summary Report.
- Prepare responses to QAA and WSCUC reports related to assessment and effectiveness, ensuring accuracy and comprehensiveness.
Data Management & Quality Assurance
- Maintain organized OBEF evidence repositories and historical records to ensure data and supporting documentation are traceable and available when required.
- Audit course files for all programs and provide recommendations for improvement.
Coordination & Follow-Up
- Coordinate with responsible units on corrective actions and follow-up related to performance gaps.
- Manage surveys related to OBEF requirements and follow up with colleges.
- Provide guidance to KPI owners/reporters and relevant units on OBEF requirements, calculations, evidence, reporting, and MoHSER updates.
Training & Development
- Develop and implement training and professional development programs for faculty and staff in areas related to institutional effectiveness.
- Organize and lead assessment workshops for academic units, utilizing best practices to enhance understanding of new processes for continuous quality improvement and closing the loop.
Research & Strategic Planning
- Research and provide information on benchmarking and best practices in institutional effectiveness.
- Develop strategies to implement best practices at the institution.
- Develop, implement, and coordinate comprehensive plans for educational outcomes assessment, ensuring all programs align with the institution's goals and objectives.
Stakeholder Engagement
- Conduct feedback surveys for academic and non-academic units to identify areas for improvement and opportunities for growth.
- Provide guidance and support to all units as needed.
General
- Perform other tasks as directed by the VCIPE.
Qualifications & Experience
- Bachelor degree with at least five years' experience in assessment and effectiveness reporting.
- Experience of working with senior academics.
- Experience of working successfully to deadlines under pressure.
Skills & Competencies
- In-depth knowledge of assessment practices for continuous improvement, with experience of implementing best practices in an institutional setting.
- Expertise in determining and enhancing institutional effectiveness, with experience of developing and implementing strategies to improve institutional performance.
- Experience of working with MOHESR's OBEF KPIs and Corrective Action Plans (CAPs).
- Experience of submitting OBEF KPIs data to MOHESR using HEDB and API.
- Ability to rapidly assimilate information and take control of a project, working to a very tight deadline.
- Excellent project management and problem-solving skills.
- Exceptional written and verbal communication skills, with experience of producing high-quality reports and presentations for senior-level stakeholders.
- Highly developed communication, interpersonal, and influencing skills, with a proven ability to work effectively with a wide range of colleagues, including senior-level colleagues.
- Excellent organizational and prioritizing skills, with the ability to manage multiple projects and priorities simultaneously.
- Excellent IT skills, including word processing, data analysis, and database management.
Additional Information
- Work is normally performed in a typical interior office environment.
- No or very limited physical effort required.
- No or very limited exposure to physical risk.
- The position may entail work after duty hours, on weekends, holidays, and in emergency situations, and may be subject to on-call responsibilities.
- This position has no supervisory responsibilities.
