Role Overview

Secretary position with Saeed Raddad Group, supporting a Director at a Saudi Aramco opportunity, based in Dhahran, Saudi Arabia.

Role Purpose

Provide comprehensive administrative and office management support to the Director, ensuring efficient day-to-day operation of the office and enabling the Director to focus on core business activities. The role requires exceptional organizational, communication, and planning skills, together with the ability to manage multiple priorities, maintain strict confidentiality, and exercise sound judgement.

Key Responsibilities

Calendar & Schedule Management

  • Manage the Director's complex calendar, appointments, and daily schedule, ensuring effective prioritization of commitments.

Travel Coordination

  • Coordinate domestic and international business travel, including flights, accommodation, transportation, visa applications, and detailed travel itineraries.
  • Prepare, review and process business travel expenses and related administrative documentation.

Office Administration

  • Provide comprehensive administrative support to the Director.
  • Organize meetings including venue bookings, meeting logistics and catering arrangements.
  • Maintain accurate records, filing systems, and confidential documentation in accordance with Company policies.

Documentation & Reporting

  • Record, monitor and follow up on meeting action items to ensure timely completion.
  • Collate and consolidate weekly and monthly highlights and reports.
  • Compose, edit, proofread and format correspondence and reports to a high professional standard.

Qualifications & Experience

  • Associate Degree preferred in Office Management, Business Administration, or Secretary Studies.
  • 5 to 10 years of experience.

Skills & Competencies

  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and accuracy.
  • Proficient in Microsoft Office Applications.
  • Strong coordination, planning, and problem-solving skills.
  • Ability to work independently while contributing effectively as part of a collaborative team.
