Role Overview
Secretary at Burjline Builders. The Secretary provides administrative support by handling office tasks, managing communication, organizing schedules, and maintaining records to ensure smooth day-to-day office operations.
Role Purpose
The Secretary ensures the efficient operation of an office by delivering administrative and clerical support, assisting management and staff as needed, and maintaining the systems and communications that keep the organization running smoothly.
Key Responsibilities
Communications & Correspondence
- Answer and direct phone calls, emails, and other correspondence.
- Coordinate communication between departments and external stakeholders.
Calendar & Scheduling
- Schedule appointments, meetings, and maintain calendars.
- Arrange travel, accommodation, and meeting logistics.
Documentation & Records
- Prepare, type, edit, and distribute documents, reports, and presentations.
- Organize and maintain filing systems (paper and electronic).
- Record meeting minutes and distribute them to relevant personnel.
- Maintain confidential records and information.
Office Management
- Receive and greet visitors in a professional manner.
- Manage office supplies and place orders when necessary.
- Perform other clerical duties as assigned.
Administrative Support
- Assist with basic bookkeeping, data entry, and other administrative tasks.
Qualifications & Experience
- High school diploma or equivalent.
- Associate's or Bachelor's degree preferred.
- Proven experience as a secretary, administrative assistant, or similar role.
