Role Overview

Officer, Technical (Shipping) at ADNOC, a global energy maritime logistics leader and the dedicated logistics arm for ADNOC Group. The role is based with ADNOC's maritime and logistics operations.

Role Purpose

Render technical administrative support to the assigned department across documentation, contracts administration, data gathering, periodic reporting, and internal and external coordination with concerned parties.

Key Responsibilities

Documentation and Records Management

  • Create, update, and maintain an electronic Document Management Structure in a systematic manner for Test Results, Studies, Reports, Logs, and maintenance records.
  • Coordinate with the Information Technology Department for further enhancement, with emphasis on monthly routine ships data records and department planners update.
  • Carry out the collection, archiving, and typing of all reports and correspondence of the Department and ensure their accuracy and comparison completed in shared folders.
  • Archive project and inspection records in accordance with Document Retention Procedures.

Contracts and Administrative Support

  • Assist superintendents Team in the compiling and preparation of MDRs, vessel Drydocking and repairs preparation, and tender documents for various call-out basis and permanent contracts.
  • Follow up with respective inter-division Officers to ensure the timely issue of Contract Requisition, Service Orders, and Purchase Requests.
  • Provide a central point of collecting routine contracts invoices and initiate data entry within ERP system for further payment and settlement processing.
  • Create common PR as required with relevant Electronic Data replication consistency for Condition Maintenance.

Communications and Coordination

  • Compile all ships mail on a regular basis for further dispatch to vessel in a timely manner for delivery at the next convenient port.
  • Receive ships documents for distribution in an addressed manner.
  • Coordinate with Human Resources and Training Coordinator on all issues related to department employees leave duty, resumption, attendance, rest, and training program.
  • Maintain up-to-date records of employee attendance, rest, and training.

Filing Systems and Reporting

  • Control the Department's central filing system, which includes KPI records update and technical analysis.
  • Maintain the common network drive updated with all relevant files and folders from the vessels.
  • Compile and edit Departments periodical management reports, which includes Departmental Objectives, Business Plan, Quality Progress, and Integrity Assessment Reports.

Qualifications & Experience

  • Completion of Secondary education followed by two years' formal training in engineering or technical discipline, or Technical Diploma.
  • Approximately three years total work experience on board ships as an engineer or in a similar shore discipline.
  • Understanding of aspects of the maintenance and repair of shipping.
  • BSC or HND Certificate.

  • Proficiency in ERP systems.
  • Presentation and reporting skills.
