Role Overview
Officer - Project Management at General Civil Aviation Authority, supporting project portfolio management, coordination, and administrative functions.
Role Purpose
To provide comprehensive project management support across the portfolio, ensuring effective coordination, accurate tracking, timely communication, and administrative excellence in accordance with PMO standards and GCAA requirements.
Key Responsibilities
Project Portfolio Management
- Support project and program management activities by maintaining project information and attending review meetings.
- Collect project updates and assist in the preparation of project and portfolio status reports.
- Support the tracking of project progress, milestones, KPIs, risks, issues, and service provider performance.
- Escalate identified deviations to the relevant PMO team member or Line Manager.
Coordination & Communication
- Support project-related coordination and communication in accordance with approved PMO standards and requirements.
- Ensure information is exchanged in a timely and accurate manner to facilitate project progress and execution.
New Project Support
- Support the preparation of project documentation, charts, plans, schedules, and budget information for new initiatives and projects based on information provided by Project Managers and relevant stakeholders.
Administrative Support
- Undertake administrative support to the section to ensure efficient and effective implementation of Departmental Plans.
Governance & Compliance
- Follow and apply approved project management policies, methodologies, processes, procedures, templates, and systems in carrying out assigned activities.
- Support Project Managers in meeting applicable PMO requirements.
- Support the follow-up and tracking of corrective actions raised against the Sector under the internal surveillance program.
- Maintain relevant records and evidence as required by the internal surveillance program.
- Support the administration of activities by external entities on request.
Document Management & Reporting
- Maintain records of relevant reports, certifications, and general correspondence to ensure proper document management.
- Support the preparation, consolidation, and timely submission of functional and project-related reports in accordance with GCAA requirements and applicable quality standards.
Health, Safety & Environment
- Ensure compliance with all relevant health, safety, quality and environmental management procedures and controls to guarantee employee safety, legislative compliance, delivery of high-quality products and services, and a responsible environmental attitude as per IMS available standards.
General Responsibilities
- Perform additional tasks relevant to the role and area of expertise as requested by management to achieve objectives and commitments.
