Manager of Inventory Monitoring

Role Overview

Manager of Inventory Monitoring at King Abdullah bin Abdulaziz University Hospital. This role manages the Inventory Monitoring department and oversees all inventory movement, custody, and reporting functions across the organization.

Role Purpose

Manage supervision and all responsibilities assigned to the Inventory Monitoring department, including preparation of reports on inventory movement, proof of receipt, disbursement and return of items through the automated system, after verifying their path and reviewing item stock cards and custody status.

Key Responsibilities

Inventory Control & Tracking

• Control the movement of items in warehouses, supply rooms, emergency rooms, maintenance units and workshops through item stock cards corresponding to item cards.
• Record settlements in item stock cards based on supporting documents in accordance with warehouse-approved forms.
• Carry out all procedures related to automatic recording settlements in item control cards and custody cards and follow up on any changes to them in the automated system.
• Conduct periodic matching of restrictions contained in item control cards with those contained in item cards, and save matchings in the automated system for reference.
• Conduct monthly reconciliation of actual balances of items in warehouses with corresponding balances recorded in item control cards to verify regularity of entries.

Custody Management

• Record through the automated system in custody cards, Form No. 8, for permanent items issued as personal custody for employees, departments, sections, and sites affiliated with the organization.

Reporting & Analysis

• Provide relevant parties with necessary warehouse data and information in the event of deficit, loss, damage, or other events, such as estimating annual needs.
• Examine data on non-moving and overstocked items and make recommendations on them.
• Prepare data on the value of deficit and increase in balances of items based on forms and reports of inventory committees or reports of the General Auditing Bureau.
• Study inventory reports and extract inventory balances through the automated system and set a value for them at the end of each fiscal year.

Qualifications & Experience

Minimum Required

• Bachelor's degree in Material Management, Healthcare specialty (such as Pharmacist, Allied, etc.), or Bachelor of Business Administration, or Bachelor Supply Chain Management.
• 9 years of experience.

Preferred

• Master's degree in Material Management, Healthcare specialty (such as Pharmacist, Allied, etc.), or other related fields.
• 7 years of experience.
