Role Purpose

To manage and monitor inventory and stock holdings, ensuring system stock issues are minimized. Monitor and control movement of stock, formulate policies and control procedures to maintain minimum discrepancies, and ensure all returns to suppliers are managed and monitored.

Key Responsibilities

Strategic Inventory Management

• Own business inventory as custodian and oversee all inventory management operations.
• Establish warehouse storage space optimization through ABC analysis and heat map analysis implementation.
• Execute warehouse shrinkage analysis and drive reductions.
• Implement stock loss action plans formulated from cycle counts and stock counts in conjunction with the Loss Prevention Team.
• Monitor extent of damages in the warehouse and develop action plans to mitigate occurrence in conjunction with warehouse inbound and outbound operations.
• Ensure timeliness and integrity of all inventory transactions.

Operational Controls

• Conduct investigation of inventory discrepancies identified during cycle count or picking and rectify within agreed timelines.
• Oversee the entire process of stock transfers between inter-warehouse, warehouse to store and store to warehouse movements.
• Ensure all movements are recorded and updated in the system to reduce discrepancies.
• Monitor transactions daily, investigate discrepancies and confirm on-base logs are raised.
• Review status of logs to ensure accurate resolution.
• Manage perpetual stock take calendar in conjunction with designated managers and stock take team.
• Communicate the stock take plan and ensure compliance.
• Oversee the physical stock count process, review results in conjunction with management and reconcile figures by auditing physical stock movements.

Supplier & Returns Management

• Coordinate directly with suppliers and buying team for returning intended stocks.
• Track all warehouse logs, credit notes and RTV adjustments and submit to FSS.
• Process credit notes, RTV, write-off and general adjustments through the system and report to finance.

Reporting & Analysis

• Provide regular updates on pending transfers, warehouse cycle counts and transparency of trouble-coded inventory.
• Liaise with business inventory managers for monthly shrinkage data.
• Prepare and share final shrinkage reports.
• Manage expiry product identification and share visibility reports with all stakeholders.
• Prepare reports based on findings and provide recommendations and suggestions to management.

Asset & Quality Management

• Manage disposal or RTV of expired and obsolete goods at respective warehouses to ensure high quality standards are maintained.

People Management

• Coach and motivate reportees to enhance performance and produce quality standards and outputs.
• Ensure reportees are continuously developed and provided feedback.
• Guide and motivate subordinates to enhance performance and produce quality work.
• Ensure subordinates are continuously developed for higher level roles.
• Review operational processes from a risk management perspective and identify new areas of risk.
• Escalate concerns to the site HSE committee.
• Maintain HSE practices in the working environment to minimize opportunity of damage to property and injury to self and colleagues.
• Pro-actively remind colleagues to behave in line with HSE processes defined by the company.
• Regularly communicate to the team on operational performance and brief on upcoming events.
• Create a positive work environment that results in low attrition, sickness and absence reduction.
• Ensure collective and individual targets are met.

Qualifications & Experience

• Graduate with excellent knowledge of warehousing and inventory management.
• 3–5 years of experience in warehousing and inventory management with knowledge in ecommerce retail environment.

Skills & Competencies

• Computer literacy and excellent MS Excel skills.
• Highly organized with eye for detail.
• Preferably good knowledge in Oracle WMS.
• Strong communication and interpersonal skills.
• Good analytical skills.
• English language proficiency.
