Role Overview
Human Resources Officer at the University of Kalba. The role provides professional human resources services to academic and non-academic staff and ensures the implementation of HR policies and procedures to enhance collaboration, compliance, and operational efficiency.
Role Purpose
To deliver comprehensive HR administration across leave management, benefits processing, attendance systems, contract renewals, employee data management, and compliance to support operational efficiency and regulatory adherence across the University.
Key Responsibilities
Leave Management
- Process all types of leaves including annual, maternity, unpaid leave, compensation leave, and escort leave.
- Ensure timely submission of return-from-leave requests after verifying them against the attendance system.
- Process long sick leave requests and ensure all required documents are submitted before forwarding them to the medical committee.
Contract Renewals & Probation Evaluations
- Handle the contract renewal process, including obtaining renewal decisions from line managers, issuing renewal letters, and attaching required documents such as performance appraisal scores.
- Complete renewals in the HR system.
- Monitor employees nearing the end of their probation period and ensure their evaluations and status confirmations are completed by the line manager.
Employee Benefits & Allowances
- Process all types of employee benefits and allowances on the HR system, including job promotions, annual travel tickets, distinction awards, special allowances, annual increments, transportation allowances, and overtime requests.
Employee Transfers & Changes
- Process transfers and employee data changes in the HR system, including job title changes, marital status updates, and educational degree modifications.
Salary & Business Mission Requests
- Issue salary certificates (To Whom It May Concern) for academic and non-academic staff and ensure accuracy and timely processing.
- Process Business Mission requests through the HR online application and verify compliance with university policies.
Attendance & Punctuality Management
- Manage the attendance system, including creating new accounts, fingerprint registration for new joiners, attendance schedules, shift adjustments, and learning program days.
- Monitor attendance records and report violations such as late arrivals, early departures, and absences.
- Apply disciplinary actions related to attendance and punctuality according to university regulations.
Employee Clearance & End-of-Service Processing
- Follow up on the clearance process for departing employees with concerned departments to ensure a smooth exit process.
Data Confidentiality & Compliance
- Maintain the confidentiality and security of all employee data, including personal and financial information.
General Administration
- Complete any other HR-related tasks as assigned by the line manager within the expected time frame.
Qualifications & Experience
- Bachelor's degree in Business Administration, Human Resources, or a relevant field.
- 2β4 years of UAE experience in a similar role, preferably in higher education institutions.
- Professional HR certification (CIPD, SHRM, etc.) is a plus.
- Priority is given to UAE Nationals.
