Role Overview

HR Coordinator - Contingent Workforce Planning at Emirates Flight Catering. This role is responsible for the overall coordination and management of contingent pool building activities including vendor management, assessment and onboarding, conversion, and contingent workforce grievances.

Role Purpose

Build, manage, and optimize a qualified contingent workforce pool that meets business needs while ensuring compliance, performance monitoring, and fair treatment of contingent workers across all departments.

Key Responsibilities

Contingent Pool Building & Vendor Management

  • Build and manage a pool of qualified contingent workers who align with company requirements to meet business needs and ensure an ongoing supply of qualified individuals.
  • Monitor vendor performance and ensure their adherence to contractual agreements and service level expectations.
  • Conduct regular staff compliance reviews and address any issues or concerns that arise.

Workforce Planning & Demand Coordination

  • Monitor the staffing needs of various departments and coordinate the ramp-up and ramp-down of contingent labor to align with demand.
  • Optimize costs while maintaining adequate workforce supply.
  • Manage work order requests for processing and approval.
  • Work closely with talent acquisition and business heads to ensure timely processing, approval, and proper allocation of resources.

Assessment, Onboarding & Training

  • Facilitate assessments, onboarding, and training processes for newly hired contingent workers.
  • Ensure that contingent workers have the right-to-work documents.
  • Provide necessary information and training to integrate contingent workers into their assigned roles.

Compliance & Record Management

  • Ensure accurate entries in the vendor management system for compliance.
  • Maintain up-to-date records of all contingent worker data, including staff details, allocation, contracted hours, rates, and other relevant information.

Employee Conversion & Deployment

  • Support conversion of contingent workers to full-time employees as appropriate.
  • Work with business heads to identify contingent workers who demonstrate exceptional performance and potential for long-term employment.
  • Coordinate with relevant HR stakeholders for their deployment to the company.

Grievance & Dispute Resolution

  • Serve as a point of contact for contingent workers to voice their grievances or concerns.
  • Actively listen to their feedback, investigate issues, and work towards effective resolution in a fair and timely manner.
  • Foster a positive work environment for all.

Disciplinary & Performance Management

  • Manage any issues or concerns related to misconduct or underperformance among contingent workers.
  • Conduct investigations and provide appropriate disciplinary actions or support.
  • Work towards resolution in collaboration with relevant stakeholders.

Equipment & Resources Coordination

  • Coordinate provision of PPE and uniforms to contingent workers as required.
  • Ensure that contingent workers have access to necessary personal protective equipment and uniforms in accordance with safety and dress code requirements.
  • Coordinate with uniform teams and vendors.

Qualifications & Experience

  • Bachelor's degree in Human Resources, Business Administration, or related field (required).
  • Minimum 5 years of work experience.
  • Previous recruiting and/or HR experience, especially in high-volume roles (required).

  • Strong sense of accountability and ownership.
  • Ability to prioritize and manage multiple tasks and deadlines.
  • Knowledge of relevant laws and regulations governing contingent workforce management.
  • Power BI, Smart app, and Advanced Excel skills (preferred).
