Role Overview
Facility Manager (Workplace Lead) at JLL, located on-site in Muscat, Oman. This position is part of the Integrated Facility Management business line and reports to the Senior Facilities Manager or Regional FM.

Role Purpose
The Facility Manager is responsible for managing all aspects of facilities service delivery at assigned locations, measured by contractual KPIs and SLAs. The jobholder serves as the primary point of contact for service delivery, client satisfaction, and tenant satisfaction, working directly with local clients to implement property-specific operating strategies that meet required standards.
Key Responsibilities
Service Delivery & Operations
- Oversee implementation of all approved initiatives and programs by managing and coordinating the FM team, service providers, contractors, and building employees to achieve established goals.
- Ensure that contracted resources deliver work to meet duration and quality targets, addressing and correcting under-performance issues.
- Establish and operate information systems necessary for effective scheduling and recording of contract work.
- Conduct site inspections covering daily cleaning, heating, ventilation, and air conditioning systems, and landscaping when present.
- Oversee and follow up on all technical maintenance for installations including AC/heating systems, fire extinguishing systems, and electrical installations.
Client & Stakeholder Management
- Work directly with local clients to ensure thorough understanding of their objectives and implement acceptable property-specific operating strategies.
- Maintain regular communication with the Site Leadership team including Country Manager, HR, Finance, Legal, and IT.
- Hold regular meetings with Landlord to ensure that lease terms are being provided to client, including external maintenance and central plant management.
- Represent JLL in the local and regional business and real estate community to promote the organization's reputation and capabilities to prospective tenants and clients.
- Prepare and distribute Quarterly/Annual Business Review information to client satisfaction.
Contract & Vendor Management
- Own facilities contracts and manage supplier and contractor relationships.
- Negotiate, renegotiate, and maintain contracts with vendors.
- Process and control invoices and work orders, opening and monitoring budgets in the financial system (Oracle), and preparing and updating forecasts.
- Procure goods and services for client buildings utilizing JLL sourcing teams.
Project Management
- Lead project management during built-out phases, liaising with architects and landlords, organizing work schedules.
- Coach and guide all project teams including sub-contractors, maintenance engineers, and commissioning engineers throughout full project lifecycles.
- Plan and budget internal fit-out works and technical installations.
- Manage purchasing of furniture and organization of internal departmental office and space moves.
Space & Facilities Planning
- Conduct space evaluation and planning, updating floor plans using clients' architect partners.
- Monitor compliance with KPIs and SLAs defined within the contract.
Team Leadership & Administration
- Manage a team of receptionists and an Office Services Coordinator/Building Operations Coordinator, including allocating resources, delegating workload, and ensuring adherence to best practices.
- Deputise and provide cover for Office Services Coordinator/Building Operations Coordinator when appropriate.
- Administer general department functions including holidays, training, and performance reviews.
Health, Safety & Compliance
- Update and maintain official safety documents and liaise with government authorities.
- Organize fire evacuation and first aid training for employees.
- Serve as point of contact for security and alarm responding.
Additional Duties
- Perform all additional duties commensurate to the level of the role.
Qualifications & Experience
- Ideally 6 years or more experience in a Facilities Management role within a large commercial organization.
- Experience owning facilities contracts and managing suppliers and contractors.
- Experience with EU Facility legislation and governing bodies.
- Quality Assurance knowledge and experience desirable.
- Fluency in local language and English essential.
