Coordinator-Facilities Management Soft Services

Role Overview

Coordinator - Facilities Management Soft Services at Transguard Group in Dubai. This role assists the Operations Manager and Account Manager in delivering contractual Facilities Management provisions related to Soft Services, ensuring timely and quality service delivery to customers in line with contractual requirements while managing a diverse cleaning team across multiple sites and maintaining all associated records and administrative activities.

Role Purpose

Ensure smooth and efficient operation of cleaning services across multiple sites, maintain high standards of cleanliness and hygiene, deliver exceptional customer satisfaction, and coordinate all soft services activities in line with contractual obligations and key performance indicators.

Key Responsibilities

Financial Management

• Maintain daily deployments as per contractual requirements.
• Ensure invoices and client approvals are shared within stipulated timeframes.
• Maintain contractual KPIs as per scope.
• Provide efficient and effective coordination for running smooth Integrated Facilities Services operations.

Customer & Stakeholder Management

• Coordinate with all internal stakeholders for new contract mobilization.
• Maintain healthy and effective business communication with internal departments and clients.
• Address client escalations and other operational needs in a timely manner.
• Identify and address any operational challenges or issues that arise, implementing solutions to improve efficiency.
• Manage resources and ensure smooth operations at all sites.
• Ensure that regular cleaning audits are carried out on all contracts.

Process & Operations

• Create work schedules in line with contractual scope for seamless delivery.
• Report any service variations to the contract to the Operations Manager.
• Utilize CAFM systems effectively on required contracts.
• Maintain all records relating to Disciplinary Action, incident reports and Annual leave, ensuring they are collated and referenced.

Innovation & Improvement

• Identify and implement technology solutions.
• Improve cleaning effectiveness by developing new cleaning methods.
• Create customized cleaning solutions.

Qualifications & Experience

• 2 to 3 years' experience in a similar capacity.
• BICS certification or equivalent certification.
• Valid UAE driving license.

Skills & Competencies

• Good English written and communication skills.
• Extensive knowledge of computer and reporting systems.
• Good knowledge of cleaning operations including machines, chemicals, and other processes.
