Role Overview
Administration Manager - Sales Support at Al Tayer Group, Dubai, UAE. The role facilitates and coordinates all relevant tasks for the smooth functioning of the Vehicle Sales Department and ensures documentation control.
Role Purpose
To develop, implement, and oversee sales administration processes that ensure consistency and efficiency across all franchises while managing documentation, logistics coordination, and regulatory compliance for the vehicle sales operation.
Key Responsibilities
Sales Administration & Process Development
- Develop, plan and implement Sales Administration processes to ensure consistency and efficiency across all franchises.
- Prepare analysis and reports on vehicle sales to facilitate overall decision-making on strategy for procurement, stock control, pricing, sales and budget.
- Review and provide regular reports, data and analysis for principals as well as Management.
Logistics & Stock Management
- Oversee and monitor shipping coordination with logistics, as well as stock movement from PDI to the showroom.
- Ensure measures are in place to minimize delivery time.
- Conduct monthly and yearly audits of physical stock and reconciliation of the same.
Documentation & Compliance
- Ensure the registration process of company and customer vehicles is carried out in an efficient and timely manner.
- Monitor VCC / Hayaza release and ensure timely invoicing.
- Conduct periodic checks to ensure bank deal documents for finance and insurance are submitted as per prescribed guidelines.
Audit & Quality Assurance
- Review and action on queries and reports from internal and external auditors.
Problem Resolution & Escalation
- Deal with critical problems, major customer complaints or issues that may be escalated.
- Ensure prompt action or decisions for timely resolution.
Team Leadership & Development
- Guide and motivate subordinates to enhance performance and produce quality work.
- Ensure that subordinates are continuously developed for higher level roles.
Qualifications & Experience
- Graduate preferably in Commerce.
- 7β10 years of overall administration experience with at least 2β3 years in a managerial capacity.
- 3β4 years in the automotive industry.
