Role Overview
Warranty Controller – Dubai, Al Tayer Group, Dubai, UAE.
Role Purpose
Administer manufacturer's warranty and parts warranty for new vehicles and workshop services, ensuring strict adherence to warranty policies and procedures while maximizing customer benefit and minimizing dispute.
Key Responsibilities
Warranty Claim Processing & Administration
- Examine repair order sheets submitted by service advisors and technicians to verify correctness and determine items covered under warranty versus those subject to claim.
- Ensure warranty replacement and add-on jobs are authorized by the Quality Controller, Workshop Manager, or Service Manager in line with company and manufacturer warranty replacement and repair policies and procedures.
- Prepare summaries of jobs carried out under warranty provisions.
- Process warranty claims and follow up with the manufacturer until settlement.
- Close the job card once the claim is settled.
- Prepare monthly claim status reports detailing claims lodged, fully settled, partly settled, and pending claims.
- Prepare reconciliation statements upon receipt of manufacturer credit, specifying reasons for any shortage or excess for management review and action.
Costing & Documentation
- Ensure appropriate costing has been applied to all repairs.
- Verify that proper documentation and invoices have been raised for repairs carried out to prevent disputes and ensure no warranty-claimable costs are omitted.
Extended Warranty Management
- Ensure all requirements of Extended Warranty provided by the manufacturer are fulfilled.
- Obtain prior approval before authorizing jobs under Extended Warranty.
Campaign & Recall Management
- Monitor Campaign Completion rate on an ongoing basis.
- Update the Workshop and Service Manager monthly on campaign completion status.
- Ensure all Service and Recall actions initiated by the manufacturer are immediately loaded on Autoline.
- Coordinate with the Parts department to order corresponding parts.
Warranty Costing & System Updates
- Ensure the latest RTS/SLTS are used in warranty costing.
- Load current RTS/SLTS to Autoline.
Qualifications & Experience
- Automotive trade certification or vocational training followed by 5–7 years of warranty administration experience in an automotive servicing industry, OR
- Diploma in Automobile Engineering or Graduate in Commerce with 3–5 years of automotive service industry experience.
Skills & Competencies
- Knowledge of manufacturer warranty policies and procedures.
- Proficiency with Autoline system.
- Attention to detail in repair order verification and costing accuracy.
- Ability to manage claims follow-up and reconciliation.
- Strong organizational and reporting skills.
