Role Purpose

The Senior Specialist, Warehouse Operations & Stakeholder Engagement is responsible for optimizing warehouse operations and ensuring seamless collaboration with stakeholders. This role involves developing and implementing strategies to enhance efficiency, reduce costs, and maintain compliance with safety and regulatory standards. The position requires a proactive approach to inventory management, order fulfillment, and vendor relationships, while fostering effective communication and engagement with internal and external stakeholders. The Senior Specialist will play a pivotal role in driving operational excellence and ensuring the alignment of warehouse operations with organizational goals.

Key Responsibilities

Warehouse Strategy & Operations

• Prepare and implement warehouse operations strategies and procedures that align with the company's goals and objectives.
• Deliver best practices in inventory management, order fulfillment, and shipping and receiving processes.
• Examine warehouse performance metrics to identify areas for improvement and execute action plans to address issues.
• Examine warehouse facilities and equipment to ensure they are well-maintained and compliant with safety regulations.
• Analyse industry trends and developments to implement new technologies and processes as appropriate.

Training & Development

• Develop and produce training programs for warehouse supervisors and staff to ensure adherence to safety and operating procedures.
• Train and develop assigned staff on relevant skills to enable them to become proficient on the job and deliver respective business objectives.

Compliance & Safety

• Review compliance with regulatory and safety requirements and execute corrective actions as needed.
• Comply with relevant HSE policies, procedures, controls, applicable legislation, and sustainability guidelines in line with international standards, best practices and ADNOC Code of Practices.

Budget Management

• Prepare and manage the warehouse operations budget, ensuring cost reduction wherever possible.
• Provide input for preparation of Function / Division / Department / Section budgets and assist in implementation of approved budgets and work plans to deliver business objectives.
• Investigate and highlight any significant variances to support effective performance and cost control.

Stakeholder Engagement

• Advise other departments, such as transportation and logistics, to ensure seamless integration between warehouse operations and other business functions.
• Advise on relationships with key vendors and suppliers, negotiating contracts as needed.
• Engage with suppliers, vendor organizations, and government officials to clarify regulations affecting purchasing activities, obtain latest amendments, and discuss matters of common interest.
• Collaborate with ADNOC affiliated companies for pooling of information and possible inter-company transfer of materials.
• Coordinate with the SVP Group Commercial Operations & Execution and other Division heads in the function to ensure alignment of warehouse operations with organizational goals.

Performance & Reporting

• Contribute to the achievement of approved Performance Objectives for the Function / Division / Department / Section in line with the Company Performance framework.
• Provide inputs to prepare MIS and progress reports for Company Management.

Innovation & Continuous Improvement

• Design and implement new tools and techniques to improve the quality and efficiency of operational processes.
• Identify improvements in internal processes against best practices in pursuit of greater efficiency in line with best industry standards to define intelligent solutions for issues confronting the function.

Supervision

• Plan, supervise and coordinate all activities in the assigned area to meet functional objectives.

Policies & Procedures

• Implement approved Function / Division / Department / Section policies, processes, systems, standards and procedures in order to support execution of work programs in line with Company and International standards.

Qualifications & Experience

• Bachelor Degree in Engineering, Finance, Supply Chain, Business Administration, or Logistics (Master's degree preferred).
• 10 years of experience in warehouse operations, with at least 8 years in a leadership role.
• Relevant certifications in warehouse management, supply chain, or logistics are preferred.
