Role Purpose

To execute purchasing activities for electrical systems and building and finishing materials, ensuring operational requirements are accurately defined, sourced, negotiated, ordered, and delivered. The role supports effective supplier and contract management, market and demand analysis, SAP material creation, purchase order follow-up, discrepancy resolution, accurate documentation, policy compliance, and timely reporting to achieve cost, quality, and service objectives.

Key Responsibilities

Procurement Strategy & Execution

• Manage and execute purchasing strategies.
• Seek and partner with reliable vendors and suppliers.
• Establish contracts to ensure negotiated prices are available for all operating items required for the hotel.
• Identify items for standing orders utilizing vendor's logistics for regular deliveries to the hotel based on approved highly consumed items.
• Research and identify new products and services for the hotel in the market.

Market & Demand Analysis

• Forecast price and market trends to identify changes of balance in buyer-supplier power.
• Monitor and forecast upcoming levels of demand.

Supplier & Contract Management

• Ensure and verify that quotations are regularly updated, and supplier's new current price lists are maintained.
• Verify that all documentation and proper quotations are maintained and filed according to Policy and Procedure requirements.

Order Management & Follow-Up

• Ensure that all order receiving dates are updated by the buyers according to the supplier's promised delivery dates.
• Ensure that all authorized or approved purchase orders are sent to their respective suppliers and vendors for delivery purposes on a daily basis.
• Verify the pending orders report on a daily basis, and all pending orders are checked and verified regularly.

Stakeholder Communication

• Partner with stakeholders to ensure clear requirements documentation.
• Communicate with the hotels and operators engineering team for the technical request aspects.

SAP & Material Management

• Material creation on SAP, with understanding the correct materials details including Description, UOM, Sizing, Brand, and COO.
• Ensure validity of items available, force issue obsolete items, and follow up on action taken for disposal.

Discrepancy & Quality Control

• Check, explain if needed, and approve delivered items discrepancy report issued by cost control regarding price and quantity order variances.

Reporting & Performance Management

• Track and report key functional metrics to reduce expenses and improve effectiveness.
• Submit reports in a timely manner, ensuring delivery deadlines.
• Ensure the efficient operation of the Purchasing Department in all aspects.

Schedule & General Duties

• Willing to work a flexible schedule in order to accomplish all major responsibilities and tasks.

Qualifications & Experience

• Bachelor's degree in Electrical or Civil Engineering.
• Minimum of 3 years' experience in the procurement of Electrical Systems or Building and Finishing Materials for construction projects.
• Ability to read and understand materials technical specifications.
• Knowledge of the market and suppliers.
