Role Overview
Receptionist at Apparel Group. The position is responsible for welcoming visitors in person or by telephone, answering or referring inquiries, maintaining security procedures, and supporting office operations.
Role Purpose
Serve as the first point of contact for visitors and callers by providing a welcoming and professional reception experience, managing office logistics, maintaining security protocols, and supporting administrative functions.
Key Responsibilities
Visitor & Reception Management
- Greet, welcome, direct and announce visitors appropriately.
- Maintain employee and department directories to guide visitors.
- Monitor logbook and issue visitor badges to control access and maintain security.
- Maintain a tidy and welcoming reception area.
Communication & Inquiries
- Answer, screen and forward incoming phone calls.
- Provide basic information when needed.
- Handle inquiries and provide accurate information.
- Relay important messages or information to staff.
- Assist in distributing internal notices or announcements.
Mail & Deliveries
- Receive and sort daily mail, deliveries, and couriers.
Appointment & Calendar Management
- Update appointment calendars and schedule meetings or appointments.
- Coordinate meeting room bookings or availability.
Record Management
- Assist in OHC requests for designated staff.
- Maintain accurate records for OHC requests.
- Process VIP Tags (cancellation and activation).
- Update the tracking sheet.
Administrative & Clerical Duties
- Perform filing, photocopying, collating, and faxing.
- Process gate pass applications, salary certificate requests, and NOC requests.
- Ensure office supplies are stocked and organized.
Customer Service & Confidentiality
- Handle sensitive information with discretion and professionalism.
- Resolve basic complaints or escalate as needed.
Technology & Equipment
- Use office software including Microsoft Office and booking systems.
- Operate office equipment including printers and switchboards.
Qualifications & Experience
- One to three years of experience in reception or administrative roles, preferably in a professional office setting.
- High school diploma or equivalent.
- Additional certification in office administration or receptionist training may be beneficial.
Skills & Competencies
- Proficiency in telephone etiquette and customer service.
- Proficiency in basic office software including Microsoft Office.
- Strong communication skills.
- Strong organization and multitasking skills.
- Friendly demeanor and professional appearance.
- Ability to remain calm under pressure.
