Role Purpose
To ensure impeccable customer service is provided to all parents and visitors to the Academy through professional communications and to support student recruitment by delivering a positive parent experience. The role embodies the values, vision and ethos of Aldar Education and assists in managing all enquiries, visitors and requests from different stakeholders.
Key Responsibilities
Visitor and Guest Management
- Greet visitors in a friendly and helpful manner.
- Deliver high quality customer service to all visitors and staff, representing the Academy in a professional manner.
- Maintain a database of school visitors.
- Arrange transportation for visitors when required.
- Assist with school tours when necessary.
- Update calendars and schedule school tours.
Communications and Customer Service
- Provide high quality customer service to all potential and existing customers.
- Answer, screen and forward incoming phone calls in a friendly and professional manner following standard telephone etiquette and protocol.
- Respond to telephone calls and enquiries courteously and direct calls to appropriate school personnel using the School Referral System.
- Assist Admissions team with inbound and outbound calls.
- Drive enrolments by promoting schools and summer programmes to prospective parents through conducting outbound calls.
- Provide basic and accurate information in-person and via phone and email.
- Provide accurate and comprehensive information about the schools, including curriculum, education level and tuition fees.
Admissions and Registration Support
- Offer guidance and assistance to parents through the student registration and admission process during the initial enquiry stage.
- Log admissions enquiries into the school MIS database.
- Assist with tasks assigned by the management team related to student recruitment.
Administrative and Clerical Support
- Provide general clerical and administrative support, for example updating attendance registers.
- Undertake word-processing and other IT-based tasks, including database, Excel and Internet research.
- Produce lists, information and data as required, for example class lists.
- Photocopying, filing, faxing, completing standard forms and responding to routine correspondence.
- Sort and distribute mail.
- Ensure reception area is tidy and presentable with all necessary stationery and materials, including pens, forms and brochures.
Operations and Coordination
- Attend and participate in relevant meetings as required.
- Undertake any other reasonable duties within the overall function, commensurate with the grading and level of responsibility of the post, for example lead nurturing and parent tours.
- Perform other duties as requested by direct and dotted line reporting managers and supervisors.
Qualifications & Experience
- High School Certificate/Diploma or Bachelor's degree certificate.
- 2 years' experience in a receptionist or customer-facing role in the region.
- Experience in a school or education setting is preferred.
- Clean enhanced Disclosure and Barring Services check or police check required.
Skills & Competencies
- Fluent standard of English communication skills, written and oral.
- Effective communicator at different levels, both orally and in writing.
- Strong interpersonal skills to aid in daily contact with customers in a diverse multicultural environment.
- Computer literate, including all social media platforms.
- Attentiveness, able to listen effectively and ask questions.
- Skilled in multi-tasking and handling pressure.
- Organizational ability of self and others with impeccable office management skills.
- Attention to detail with diligent follow up and able to execute in a timely manner.
- A team player, willing to support colleagues to deliver results.
- Willingness to learn.
- Arabic speaking, reading and writing is preferable.
- Respect for all members of a school community, irrespective of position, gender, age and ethnic background.
- A positive and solution-focused attitude to working life.
- A genuine understanding and appreciation of the values of the region.
