Role Overview
Receptionist (Emirati National) at AWR Group. This role serves as the first point of contact for visitors, clients, and callers, providing a professional and welcoming experience while managing front desk operations and supporting administrative activities.
Role Purpose
The Receptionist provides a welcoming and professional first point of contact for visitors and callers, manages front desk operations, supports administrative tasks, and ensures a clean, organized, and secure reception area. This role is key to maintaining smooth communication and a positive image of the organization.
Key Responsibilities
Reception & Visitor Management
- Welcome visitors in a positive and friendly manner with a helpful attitude, answering any questions they have.
- Answer and direct phone calls in a polite and friendly manner.
- Notify company personnel of visitor arrival in a timely manner.
- Ensure visitors do not wait for company personnel for more than 5 minutes.
- Ensure all tenant and visitor meetings are held in the meeting rooms.
- Greet and assist CEO visitors with a courteous and professional demeanor, ensuring they feel valued and attended to promptly.
- Ensure guests and visitors are always greeted and served refreshments.
Front Desk & Administrative Operations
- Maintain the reception area and all common areas in a clean and tidy manner at all times.
- Operate standard office equipment on a regular basis, including a copy machine and a computer.
- Keep detailed and accurate records of visitor requests and calls received through the system or log.
- Receive deliveries; sort and distribute incoming mail.
- Take inventory of supplies and restock as needed.
- Operate the telecommunication system by following manufacturer's instructions for house phone and console operation.
- Direct visitors by maintaining employee and department directories.
- Maintain security and telecommunications system.
- Maintain visitor procedures, enter visits in the system, and issue visitor badges if required.
- Handle confidential information with discretion and professionalism.
Executive Support & Scheduling
- Organize and coordinate the day-to-day schedule of the CEO, including appointments, meetings, and travel arrangements.
- Manage travel and all other reimbursement records, ensuring all claims are processed.
Events & Coordination
- Coordinate with Marketing and other relevant departments for company events, workshops, activities, and exhibitions, ensuring all logistics are handled efficiently.
- Share meeting agendas, minutes, and project materials with the leadership team before deadlines.
General
- Contribute to team effort by accomplishing related results as needed.
Qualifications & Experience
- Bachelor's degree or Diploma.
- 3 to 5 years' experience in a similar or same position.
Skills & Competencies
- Good communication skills.
- Good computer skills.

- Time management.
- Good written and verbal communication skills in English.
- Arabic is a plus.
