Project Controls Admin (UAE National)

Role Overview

Project Controls Admin position with Wood PLC, a full-time onsite role based in Dubai, UAE. Reports to the Lead Cost Engineer.

Role Purpose

Execute assigned scopes of work and contribute to the delivery of project services excellence through task delegation, supervision support, and provision of discipline expertise to the business.

Key Responsibilities

Oracle and Timesheet Management

• Run OTL (Oracle) reports and prepare weekly and monthly timesheets.
• Facilitate relevant approvals for timesheets.
• Coordinate overtime and absence pre-approvals.
• Issue weekly manhour booking details to the team.
• Provide induction to new joiners on time writing and expense procedures.

Project and Financial Administration

• Maintain PO register and document POs issued.
• Create projects and booking codes in Oracle international, OTL, and Covero.
• Prepare PAAFs, route for approvals, archive approved documents, and maintain register.
• Raise Material Requisition Forms and route for approvals.
• Review expense claims and coordinate the approvals.

Resource and Organizational Support

• Track and update resources status updates, headcounts, and distribution lists.
• Assist in updating organization charts.
• Provide support to Planners and Cost Controller.

Stakeholder Management

• Establish and maintain effective working relationships and communicate across the project and contract interfaces.
• Engage with inter-discipline community and promote discipline including networking and knowledge sharing.
• Establish and maintain awareness of external stakeholders including industry bodies, academia, vendors, and client interface as appropriate and requested.

Leadership and Values

• Provide leadership in promoting and demonstrating the company core values, ethics policy, and leadership framework.

Qualifications & Experience

• Graduate Degree.
• Minimum of 1 to 5 years' relevant experience in the oil and gas industry.
• Experience of working with multi-national and multi-cultural project teams is strongly preferred.

• Proficient in Microsoft Excel.
• Previous Oil & Gas industry experience.
• Experience with detailed Engineering and Consultancies.
• Time Keeping Experience.
