Role Overview
PR & Registration Officer (Arab Female) at Hayat Universal School, Doha (Al-Thumaid). Full-time, open-ended contract for 2026/2027. Reports to PR / Registration Supervisor.
Role Purpose
To manage student registration, maintain accurate records in compliance with British Columbia Ministry of Education and Qatar Ministry of Education requirements, and provide professional public relations and customer service to parents, visitors, and school staff while supporting annual enrollment targets.
Key Responsibilities
Registration
- Implement the school registration system and maintain student records to maximize efficiency and fulfill British Columbia Ministry of Education offshore school certification requirements, Qatar Ministry of Education and Higher Education requirements, and legal obligations to parents and government bodies.
- Coordinate with teaching staff to plan and schedule entry assessments within 48 hours of parent request to maximize the number of assessed students.
- Register students according to school policies and procedures.
- Prepare accurate class lists for approval and update them promptly and accurately on a daily basis during registration season at the beginning of the year; disseminate updated lists to relevant parties as instructed by immediate supervisor.
- Coordinate with school Accounts on a daily, weekly, and monthly basis depending on the time of year to inform Accounts of student registration status and students likely to default on payment; perform with utmost accuracy and speed especially during registration seasons.
- Track student registration status based on relevant reports such as daily or weekly attendance reports from teachers; monitor Support Services reports to identify students who have dropped out, are likely to drop out, or may be suspended; take prompt action by advising immediate supervisor to replace students when registration is still possible.
- Update and maintain the student database in a timely manner; perform periodic checks to ensure accuracy, completeness, and currency of information; disseminate database reports as instructed by immediate supervisor.
- Ensure student files are complete with required registration documents, documents required for school local and international accreditation, and documents produced during the school year including Report Cards, Incident Reports, and Support Services Reports.
- Implement any mandated processes related to providing online or hard copy information to school licensing and accreditation bodies including Qatar Ministry of Education and Higher Education and British Columbia Ministry of Education.
- Prepare "To Whom It May Concern" letters and similar correspondence upon parents' requests according to relevant school policies and procedures.
- Arrange release of student files to parents and other parties such as school administrators and teachers in compliance with school policies and procedures.
Public Relations
- Provide primary support to the PR Officer and replace the Officer as needed in performing selling duties.
- Receive all incoming calls and visitors inquiring about registration including first-time and follow-up inquiries from parents of new and registered students during registration seasons.
- Perform selling duties to existing and new parents including making initial presentations, answering inquiries, providing clarifications, and handling objections over phone, email, or in person at the school; provide school tours.
- Ask immediate superior for help when facing difficulty replying to parent inquiries.
- Follow up on parents who made appointments for entry assessment to remind them of their appointments.
- Follow up on parents who did not attend assessment to probe into and influence their decision-making.
- Call parents to inform them of entry assessment results and continue follow-up to convince them to register.
- Present school placement decisions regarding children in lower grades in a manner that convinces parents of educational justifications and benefits to their children.
- Call parents of registered students in the support service program to inform them of re-registration decisions and their justifications.
- Attend promotional and awareness events organized at school premises or other locations such as exhibitions and mall stands.
- Track promotional materials prior to start of registration process and alert immediate superior of needs.
- Prepare areas where parents will be present during registration process to communicate school benefits using themes and by showcasing student work, activities, learning resources, accreditation documents, and awards; ensure Reception areas and school hallways communicate school benefits.
- Ensure areas where parents are present are clean, neat, and welcoming; arrange own office and raise to immediate superior requirements and concerns related to other areas.
- Receive all visitors throughout the school year and direct them appropriately without disrupting school work or jeopardizing student safety.
- Receive and direct incoming calls through the school main telephone switchboard.
- Serve as point of contact when parents need to pick up children or meet with teachers or school administrators.
- Send SMS messages to parents using contact numbers from the student database.
- Assist parents in selection, ordering, and payment of photographs, films, and other materials related to school activities.
- Help in preparation and distribution of paper notices to parents.
- Provide administrative assistance for school and class activities such as field trips, showcases, school opening nights, open days, graduation ceremonies, special events, parent-teacher interviews, and other public relations-related events.
General Administration
- Perform administrative assistance and secretarial duties as requested by immediate supervisor, including attending meetings, taking minutes, and preparing minute reports.
- Provide objective and well-reasoned feedback to school and EduGlobe executives regarding registration issues, parent-related issues, and staff-related issues to aid decision-making that improves registration, parent relations, staff relations, and school service quality and efficiency.
- Prepare and issue periodic reports (daily, weekly, etc.) and reports upon request regarding pre- and post-registration areas and public relations areas, including follow-up on school advertisements and information.
- Assist with creating and coordination of emergency procedures.
- Contribute to safety at school by implementing policies and procedures related to school access.
- Actively help develop teamwork attitude among school staff, integration of teaching and administrative staff, and promotion of positive morale within school.
- Support achievement of school annual enrollment targets through efficient and accurate implementation of the registration process to ensure up-to-date information supports the sales process.
- Perform other related, similar, or logical duties as required or assigned, including assisting other school administrative staff during peak times and manning school reception when needed.
Qualifications & Experience
- Bachelor's degree.
- 3+ years of experience in administration affairs.
- Fluency in English and Arabic languages (reading, speaking, and writing).
- Age: 22 to 35 years old and in good physical health.

- Analyze situations and take appropriate action regarding routine and emergency procedural matters without immediate supervision.
- Knowledge of modern office practices, procedures, and equipment.
Additional Information
Employment Terms
- Full-time position on open-ended contract.
- Reports to PR / Registration Supervisor; no positions supervised.
Compensation & Benefits
- Monthly gross salary ranging between QR 5,500 and QR 7,000 depending on applicant qualifications and years of experience.
- End of service benefit equivalent to one-month basic monthly salary for every full year of service; basic salary is 70% of gross salary quoted above; paid when staff complete minimum of one year.
- Annual summer leave of 40 days upon completing one full academic year.
- Package does not include housing, transportation, or summer tickets.
