Parts Executive

Role Overview

Parts Executive at AWR Group. This role is responsible for ensuring effective control over inventory, parts margin, documentation accuracy, workshop store, special tools and equipment, and manuals.

Role Purpose

To maintain effective control and management of inventory, parts margin, documentation accuracy, workshop store operations, special tools, equipment, and manuals while ensuring operational efficiency, compliance, and profitability.

Key Responsibilities

Sourcing & Cost Control

• Source parts and consumables at optimal prices while maintaining profitable margins.
• Negotiate best prices from suppliers and maintain healthy relationships with all stakeholders.
• Verify parts bills and ensure only genuine parts are received in stock, whether used or new.
• Create part numbers in compliance with SOP guidelines for new and used parts.

Inventory & Stock Management

• Maintain accurate stock levels by promptly issuing items on job cards.
• Perform monthly cycle counts and keep accurate stock levels.
• Maintain 5S standards in the parts department.

Parts Estimation & Supply

• Provide parts estimation to workshop (SA/Foreman) within minimum turnaround time.
• Supply parts to technicians within minimum turnaround time.
• Coordinate with registered suppliers to supply parts to workshop within minimum turnaround time.
• Deliver new parts within 12 hours turnaround time.
• Deliver used parts within 12 hours turnaround time.
• Deliver consumables within 48 hours turnaround time.

Compliance & Documentation

• Ensure correct documentation of all necessary documents in line with Autotrust SOP.
• Ensure computerized bills and VAT compliance.
• Prompt submission of required documents to finance and maintain acknowledgments for future references.
• Adhere to guidelines and processes with 100% compliance.

Stakeholder Coordination

• Assist suppliers with any payment delays by liaising with the Finance department.

Qualifications & Experience

• Degree or 3-year Diploma in Automobile or Mechanical Engineering.
• 3 to 5 years' experience in auto workshop store management, automobile dealer, or workshop environment.

Skills & Competencies

• Parts Sourcing and Cost Control: source genuine parts and consumables at optimal cost, ensure profitability and margin control, and negotiate with suppliers.
• Inventory and Stock Accuracy: maintain accurate stock levels through timely issuance, cycle counts, 5S standards, and strict SOP compliance.
• Operational Efficiency and TAT Management: deliver fast and accurate parts estimation and supply to workshop teams within defined turnaround times.
• Compliance and Documentation Management: ensure correct documentation, VAT compliance, system accuracy, and coordination with finance and suppliers.
• English language proficiency.
