Role Overview

Oliver Wyman seeks an Executive Assistant to join the Middle East office as part of the IMEA (India Middle East Africa) team, based in Riyadh. The role provides bilingual (English/Arabic) executive-level administrative support to 1–3 Partner-level consultants.

Role Purpose

To deliver comprehensive administrative, calendaring, travel coordination, and business development support to Partner-level consultants, enabling them to focus on client delivery and firm growth while maintaining organized, efficient operations across all administrative functions.

Key Responsibilities

Business Development

  • Build relationships with clients and client executive assistants.
  • Understand business goals and objectives of each supported Partner and proactively advance them.
  • Lead administrative support for RFPs and tender responses.
  • Maintain and update current contact lists and business activities in CRM database.
  • Track and maintain sales activity and pipeline for each Partner.
  • Proactively identify clients who have not been contacted or require follow-up.
  • Execute requested follow-up calls for client mailings.
  • Assist the Marketing Department with coordination of customized mailings.
  • Prepare letters, proposals, and other documents using Oliver Wyman formatting styles.

Calendaring

  • Maintain diaries for Partners, scheduling internal and external meetings and communicating with clients and infrastructure staff as appropriate.
  • Proactively identify opportunities to add internal and external meetings, interviews, staff meetings, and follow-ups.
  • Assist with scheduling complex projects as requested by the Partner and/or project team.

Travel Arrangement

  • Coordinate travel and accommodation; book cars, rail tickets, and other transportation.
  • Coordinate with mobility and HC to obtain relevant business visas and work permits.
  • Develop understanding of Partner scheduling and travel preferences.
  • Coordinate travel efficiently by grouping client meetings where possible.

Daily Administration

  • Manage documents and project deliverables when requested.
  • Notify staffing and Practice EAs of extensions and re-negotiations.
  • Manage storage or disposal of confidential client information.
  • Act as central point of contact for all assigned Partner administrative needs and liaise with other support departments as necessary.

Timesheet and Expense Reporting

  • Prepare monthly timesheets for each assigned Partner.
  • Prepare all expense reports and/or delegate to a team assistant when necessary.
  • Request Purchase Orders (POs) as needed for relevant project teams.

Team Support

  • Provide coverage for EAs who are out of office to ensure seamless support to Principals and Partners.
  • Provide short-term coverage for Principals and Partners in the midst of an EA assignment transition or new to the firm.
  • Provide training and support to new EAs.
  • Participate in team meetings and projects to improve processes and overall performance of the EA team.

Qualifications & Experience

  • At least three years' experience working in a similar role.
  • Experience in financial services, management consultancy, and/or a professional services environment.

Skills & Competencies

  • Advanced Word, PowerPoint, and Outlook skills.
  • Comfortable Excel skills.
  • Creative problem solving.
  • Knowledge of CRM systems (Microsoft Dynamics), Google Drive, and SharePoint (preferred but not required).
  • English and Arabic (required).
  • Positive and proactive attitude with strong collaboration skills.
  • Highly organized and detail-oriented; operates well independently and within a team.
  • Professional, tactful, and able to engage with colleagues at all levels.
  • Problem solver; works effectively with other teams and staff members to reach viable solutions.

Additional Information

  • Working hours: 09:00 – 18:00 with additional hours as needed.
  • Marsh is committed to hybrid work, including flexibility to work remotely and the collaboration, connections, and professional development benefits of working in the office together. All Marsh colleagues are expected to be in their local office or working onsite with clients at least three days per week. Office-based teams will identify at least one "anchor day" per week on which their full team will be together in person.
