Role Overview
Executive Secretary at Mashreq, supporting the Country Head in meeting departmental objectives by providing full secretarial services.

Role Purpose
To manage the Country Head's calendar, priorities, and engagements while serving as a strategic liaison between senior leadership and internal and external stakeholders. The role ensures seamless coordination of executive activities, governance forums, and cross-functional initiatives to support the organization's strategic objectives.
Key Responsibilities
Executive & Business Support
- Manage and optimize the Country Head's complex calendar, priorities, and engagements, ensuring alignment with strategic objectives.
- Act as a gatekeeper and liaison between the Country Head and internal and external stakeholders, including clients, regulators, and board members.
- Prepare high-quality briefing materials, board packs, and executive presentations.
- Draft and review professional correspondence and communications on behalf of the Country Head.
Operational & Coordination Excellence
- Coordinate senior leadership meetings, governance forums, and external engagements, including agenda setting and follow-ups.
- Ensure seamless travel, logistics, and event management, including contingency planning.
- Maintain confidential records, documentation, and information flows with high accuracy and discretion.
Strategic & Project Support
- Support execution of strategic initiatives and cross-functional projects, tracking milestones and ensuring timely delivery.
- Follow up on projects and ensure key waypoints are met and stakeholders are working to ensure projects remain on schedule.
- Conduct research, analysis, and preparation of summary insights for decision-making.
- Act as a central coordinator across business, risk, operations, and support functions.
Stakeholder & Communication Management
- Interface with C-suite executives, regulators, and key clients, maintaining professionalism and alignment.
- Facilitate effective communication flow across leadership teams to avoid bottlenecks.
- Support Board and governance activities, including documentation, follow-up, and tracking actions.
Qualifications & Experience
- Graduate from a well-reputed university.
- Five to eight years of banking experience as an Executive Secretary.
- Excellent command of written and spoken English.
Skills & Competencies
- Excellent organizational skills, including prioritizing and multi-tasking effectively in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Strong working knowledge of Microsoft Copilot and AI-enabled productivity tools, leveraging them for drafting executive communications and reports, summarizing large information sets and meeting notes, enhancing calendar, email, and workflow management, and data analysis, presentation, and summarizing by themes.
