Role Overview

Document Controller position with WSP in the Middle East, based in Riyadh, Saudi Arabia. WSP is a renowned consultancy in the construction industry specializing in site supervision for road, tunnel, highway, and bridge projects.

Role Purpose

Manage the creation, review, distribution, and archiving of documents to ensure stakeholders access accurate, current information while maintaining compliance with regulatory standards and organizational policies.

Key Responsibilities

Document Management

  • Manage the creation, review, distribution, and archiving of documents such as reports, specifications, contracts, and correspondence.
  • Establish efficient systems for document retrieval and ensure documents are readily accessible to authorized personnel.

Version Control & Accuracy

  • Maintain accurate version control of documents to ensure that stakeholders are accessing the most up-to-date information.
  • Implement quality control measures to ensure the accuracy, completeness, and integrity of documents.

Compliance & Security

  • Ensure that document management processes comply with relevant regulatory standards and organizational policies.
  • Maintain confidentiality and security of sensitive documents by implementing appropriate access controls and security measures.

Stakeholder Support

  • Provide training and support to staff on document management processes and software systems.
  • Collaborate with internal teams, such as project managers, engineers, and administrative staff, to facilitate document-related processes and workflows.

Auditing & Improvement

  • Conduct regular audits of document management processes to identify areas for improvement and ensure compliance with standards.
  • Continuously evaluate and improve document management processes to enhance efficiency and effectiveness.

Qualifications & Experience

  • Bachelor's degree in Engineering, Business Administration, or a related field.
  • Minimum of 5 years of experience in document control roles within the consultancy sector, with a focus on site supervision for infrastructure projects such as roads, tunnels, bridges, and highways.
  • Proven experience in document control or records management role.
  • Certification in document management (e.g., Certified Document Controller) is desirable.
  • Familiarity with regulatory requirements related to document management (e.g., ISO standards) is a plus.

Skills & Competencies

  • Proficiency in document management software and Microsoft Office Suite.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Ability to work independently and collaboratively in a team environment.
  • Good communication and interpersonal skills.

Additional Information

  • Saudi national required.
