Coordinator-Facilities Management Soft Services

Role Overview

Coordinator – Specialist Services (Grade 5) with Transguard Group's Total Facilities Management team, based at the company's headquarters in DAFZA, Dubai Airport Free Zone.

Role Purpose

Assist the Operations Manager and Account Manager in delivering contractual Facilities Management provisions related to Soft Services. Ensure time-bound, quality service is delivered to customers in line with contractual requirements. Manage a diverse cleaning team across multiple sites while maintaining records and administrative functions. This role is critical to ensuring smooth and efficient cleaning operations, maintaining high standards of cleanliness and hygiene, and delivering exceptional customer satisfaction.

Key Responsibilities

Financial Operations

• Ensure daily deployments are maintained in line with contractual requirements.
• Ensure invoice information and client approvals are shared within stipulated timeframes.
• Maintain contractual KPIs as per scope.
• Provide efficient and effective coordination for smooth IFS operations.

Customer & Stakeholder Management

• Coordinate with all internal stakeholders for new contract mobilization.
• Maintain healthy and effective business communication with internal departments and clients.
• Take timely action on client escalations and other operational needs.
• Identify and address operational challenges or issues, implementing solutions to improve efficiency.
• Manage resources and ensure smooth operations at all sites.
• Conduct regular cleaning audits across all contracts.

Process & Documentation

• Create work schedules in line with contractual scope for seamless delivery.
• Report any service variations to the Operations Manager.
• Utilize CAFM systems effectively on required contracts.
• Maintain all records relating to disciplinary action, incident reports, and annual leave, ensuring proper collation and referencing.

Innovation & Improvement

• Identify and implement technology solutions.
• Improve cleaning effectiveness by developing new cleaning methods.
• Create customized cleaning solutions.

Qualifications & Experience

• 2–3 years' experience in a similar capacity.
• BICS certification or equivalent certification.
• Valid UAE driving license.
• Good knowledge of cleaning operations, including machines, chemicals, and other processes.

Skills & Competencies

• Good English written and verbal communication skills.
• Extensive knowledge of computer and reporting systems.
