Role Overview
Contracts Manager at Al Shirawi Group. The role manages contractual coordination, quantity validation, variation tracking, and commercial claims processing across project delivery.
Role Purpose
Manage all contractual obligations, agreements, and commercial variations between the company, main contractors, clients, suppliers, and subcontractors. Ensure accurate scope definition, quantity validation, progress tracking, and timely submission of invoices and variation claims.
Key Responsibilities
Coordination & Meetings
- Coordinate with DGM Operations and Project Managers on contractual matters.
- Attend contractual meetings with clients alongside the projects team.
- Conduct site walk-arounds with PM and Project Engineers on a weekly basis before the 20th of every month to verify progress.
- Conduct regular review meetings with the Main Contractor QS team for variation approval and update status to OM or PM.
Agreement & Scope Management
- Vet agreements with clients, suppliers, and subcontractors.
- Receive Engineer's Instruction (EI) from the Project Manager or Main Contractor for scope additions or deletions.
- Highlight any scope changes to the Project Manager following site walk-arounds.
Quantity Take-Off & Validation
- Coordinate item-wise quantity take-off and scope of work understanding between pre-tender and post-tender teams within 3 weeks of job award.
- Establish floor-wise and item-wise quantities within the agreed timeframe.
- Revalidate quantities based on approved IFC drawings and ensure review and approval by OM or ED.
- Break down approved quantities into area-wise divisions based on shop drawings.
IFC vs IFT Comparison
- Direct post-tender QS team to carry out IFC vs IFT comparison based on drawing revisions and GA plans.
- Highlight any variations to the Design Team, PM, or OM.
- Send variation notification to the Main Contractor within 7 days of identification.
- Send detailed variation submission to the Main Contractor within 14 days and update the variation register.
Variation Management
- Manage variation notifications and submissions for IFC vs IFT variations within contractual timeframes.
- Receive scope addition or deletion instructions and process detailed variation submissions within 14 days.
- Update variation register with all approved and pending variations.
- Update OM or PM on variation approval status following Main Contractor QS team reviews.
Commercial Value Items (CVI) Processing
- Handle all CVIs on a week-to-week basis.
- List all CVIs raised within the week and coordinate with PM or Project Engineer to explain CVI details to QS team.
- Direct QS team to prepare commercial implications and intimate Main Contractor within 2 days (Monday).
- Facilitate agreement of CVI status between Project Manager or Project Engineer and Main Contractor within 3 days.
- Ensure works are not carried out without CVI approval.
Progress Claims & Invoicing
- Receive Payment Application Invoices certified by PM or Project Engineer along with highlighted drawings approved by Project Manager.
- Verify Progress Claims by conducting site walk-arounds.
- Prepare IPA based on agreed actual progress.
- Submit IPA to the Main Contractor on or before the 25th of every month or as per contractual obligations.
Program & Extension of Time
- Verify Project Progress against the agreed baseline programme.
- Collect supporting documents from the Project Manager in case of delay.
- Prepare detailed summary for Extension of Time claims.
